Background

DataSpring | CAQH Provider Data Portal is an independent third-party secure website that collects and stores all data necessary to credential providers within a healthcare organization. It is a tool used to view and verify a clinician’s professional background (i.e., education and training, licensing, work history, malpractice claims, etc.) in accordance with the standards of National Committee for Quality Assurance (NCQA).

The purpose of DataSpring | CAQH is to complete your credentialing information one time through a universal application and eliminate the need to fill out applications for each individual insurance company. The use of the DataSpring | CAQH profile is a necessary step in the Talkspace credentialing process, and will allow providers the opportunity to participate within our credentialed provider network. 

In addition, it is Talkspace’s objective that all prospective partnerships can be assured that all Talkspace providers have the necessary credentials in accordance with NCQA’s standards.

IMPORTANT NOTE: 

During the onboarding and credentialing process, Talkspace will be sending two separate DataSpring | CAQH authorization requests. The first one allows our team to view your profile, which is necessary to complete the credentialing process. The second, (group) authorization request adds Talkspace as a practice location, ensuring accuracy for insurance payor enrollment and helping to optimize your visibility in provider directories.

DataSpring | CAQH can be accessed via the following link – DataSpring | CAQH Portal access.  If you do not recall your username and/or password, you may utilize the forgot username or forgot password feature on their site. You can also call the DataSpring help desk at (888) 599-1771.

Provider Action Required

Complete DataSpring | CAQH Profile

  1. Register with the system.
  2. Complete all application questions and required fields.
    1. Work History: The application asks for a ​5-year work history​. If you have any gaps of 6 months or more be sure to complete an explanation on the supplemental form. *Please note: If you don’t have 5 full years of professional healthcare experience, please make sure to include your ​full education history​ as well as ​the date your license was issued​.
    2. Education and Training: The application asks for your education and training. Please be sure to list your undergrad as well as your grad school along with the degrees earned.  Please also be sure to complete the years of attendance.
    3. Disclosure Questions: For any responses indicated as “Yes”, provide an explanation using the Supplemental Disclosure Question Form.
  3. Add Talkspace to your application in the employment information section.
    1. Click on the “Profile Data” tab
    2. Scroll down to find the “Employment Information” section
    3. Click on the check mark to open the section 

NOTE: the check mark can be green or red. Green usually indicates all required information is complete, red indicates there is missing information.

  1. Click on “Add” under “Add an Employment Information Record”
  2. Enter the Employer Name as “Talkspace”
  3. Enter your personal information as the street address, country, city and state. Alternatively, you may also add “virtual location” in the “Street 1” section
  4. Add your home city and state
  5. Enter the start date as the date you are completing this data entry
  6. Enter “Yes” for current employer
  7. Click “Save & Continue”

NOTE: Although you are entering this information as an employer, you are considered a contractor with Talkspace. 

Make sure to click “Review & Attest” at the top right of the screen in order for your updates to appear on our end

  1. Complete any outstanding required fields (DataSpring flags them in red).
  2. Review your application data summary.
  3. Authorize participating organizations access to your application data.
    1. Access your account here;
    2. Choose “Authorize” at the top of the page
    3. Choose “Authorize Setting” and make your preferred selection

NOTE: DataSpring recommends you select “Yes”; this will help reduce the need for you to access your profile each time you work with a new organization

  1. Click Organizations
  2. Select “Talkspace” 
  3. Click “Save” for your changes to be effective.
  4. Once you have successfully saved the authorization, re-attest by clicking the “review & attest” button on the screen.

  1. Approve the group authorization request to add Talkspace as a practice location
  2. Upload your current malpractice insurance (COI/PLI) face sheet.
  3. Upload your current state license(s).
    1. NOTE: Make sure to include all active licenses in your DataSpring | CAQH file. Please be sure to include the state, the number as noted on your license, the issue date and expiration date. Any that are inactive should be removed. 
  4. Sign and upload your attestation (if applicable).
    1. Some states require a state-specific format for the DataSpring | CAQH application in addition to the universal state format as part of the state’s regulatory requirements. The system should prompt you to complete the state-specific formatted application after you input your license information. It should also prompt you to complete state-specific disclosure responses, a state-specific release and authorization form and advise on the signature requirement (digital vs manual wet signature).
    2. NOTE:  CO, GA, IL, MA, MN, MS, NV, NC*, OK, OR, TX*, WA, WV states require a state specific attestation and release authorizations in addition to the standard authorization signature page. 
    3. *NC and TX states require you add Talkspace to your authorization and release signature pages. 
    4. Please check with Talkspace Credentialing (credentialing@talkspace.com) if you are unsure or have difficulty.
  5. Attest to your application data.
    1. NOTE: Make sure to keep your DataSpring | CAQH profile up to date and current and make sure to re-attest every 4 months, 120 days. Please note, every time you change information in your profile you must re-attest. If you do not re-attest, the changes will not appear on our end. 
  6. Check your email for confirmation of your application’s submission; and
  7. Check your email for a second email confirming the DataSpring profile’s completion.

 

DataSpring | CAQH Provider Status
Status Definition
Expired Attestation Your DataSpring | CAQH profile has expired. Please log in, review your data to confirm it is current and accurate, save and re-attest to make the profile current again. Re-attestation occurs every four months. Please be sure to re-attest regularly to avoid having an expired profile.
Profile Data submitted Your application is almost complete. DataSpring | CAQH profile needs a few more items to consider the profile complete (uploaded insurance and/or attestation). Call the DataSpring helpdesk at (888) 559-1771 to confirm what is needed to complete your application.
First Provider Contact  You started the process by getting an ID number but that was all that occurred; the profile must also be completed.  Please complete the profile by inputting your data, saving, uploading your documents, and attesting. 

 

Please note: you will receive two emails from DataSpring | CAQH, one stating they have received all of our documents and the profile is pending completion and another to let you know once the DataSpring | CAQH profile is fully reviewed and completed. Please let us know once you receive the "CAQH completed" notification.

Completing State Specific Applications & Release Forms

If you have a license in one of the following states: CO, GA, IL, MA, MN, MS, NV, NC, OK, OR, TX, WA, WV, you must complete a specialized state-specific formatted version of the CAQH application per your state’s regulatory requirements. 

 

The system is designed to designate the correctly formatted CAQH application if you are completing a profile for only one state. If you have more than one license and the additional license is in one of the states listed above, you will need to update your profile to include the new license and state-specific formatted CAQH profile.

  1. Login to DataSpring | CAQH

  2. Click on the “Profile Data” tab

  3. Scroll down to find the “Personal Information” section

  4. Click on the check mark to open the section 

    1. NOTE: the check mark can be green or red. Green usually indicates all required information is complete, red indicates there is missing information.

  1. Scroll down to locate the license listing box

  2. Click on the drop down arrow

  3. Select your new license state from the drop down listing

  1. Scroll to the bottom of the screen and click “save and continue”  

  1. The next page should be the “Professional IDs” page and will list in red any missing information

  2. A list of your license states should also be displayed

    1. NOTE: The newly added state may not be present

  2. If not, click “add” to open a pop up to add your new license information

  3. Add your license information and click “continue”

    1. NOTE: If you are adding more than one license, please select Save & Add Another

  2. You will now be prompted to address any red/missing information as indicated on the left side of the screen (items with the red “X”)

  1. Click on each missing information section

  2. Correct the information as requested

  3. For education, depending on the state, you may be required to re-enter the same education and training information

  4. Once all of the missing information is input you should see all “green” checkmarks

  5. You will now need to review, respond and sign your state disclosures

  6. Click on “Disclosures” on the left side of the screen’s listing

  7. At the top of the Disclosures screen, you will see tabs with each state noted

  2. Review and respond to each question

    1. NOTE: Please be mindful that some states have different wording than the standard format and may be a yes response instead of no. 

    2. EX: Some states ask if you are capable of working, which would be a “Yes” response while others ask if you are unable to work, which would be a “No” response.

  3. Click Save and Continue

  4. The system will let you know if there are errors or “required fixes”

  5. Click “View Errors”Review and correct the required errors as listed

  6. Click on save and continue with each correction

    1. NOTE: there may also be an x at the top of the page for “Profile Data” and “Documents” meaning there are issues to correct in those sections

    2. Click on each section to address the missing information and/or errors

  7. Click on Documents to locate the attestation signature pages

  8. Locate the state release and state authorization documents

  9. Click “Download” for each document

  10. Save the file based off of CAQH’s “Document Name” to avoid upload errors or rejections in the CAQH system

    1. EX: State Authorization or State Release 

  11. Sign, save and upload each document making sure to upload the correct file for each Document Name

    1. If the state requires a handwritten signature, it should indicate that on the document. If this is required, please print, sign and save the document as a photo or scanned document and upload it to CAQH. 

    2. You may also email CAQH at documents@proview.caqh.org with your name and CAQH ID number in the subject line.

    3. NOTE: *NC and TX states require you add Talkspace to your authorization and release signature pages. 

 

Once all has been completed, please be sure to re-attest all of the changes you made. If you only save but do not re-attest, the changes will only appear on your view but will not appear externally in our view.

FAQ

What is a CAQH ID number?

  • A CAQH ID number is the number associated with the provider profile to help streamline the process of credentialing.

Does every provider need a CAQH number? 

  • Yes, Talkspace requires its providers to supply a CAQH number, completed profile, and a National Provider Identifier (NPI) number to complete your credentialing. 

What should I do if I don’t have a CAQH number or completed profile?

Do I need a new DataSpring | CAQH profile just for Talkspace? 

  • No, you do not need a separate DataSpring | CAQH profile for Talkspace. The purpose of the DataSpring is to have all your information in one place. 

How do I gain access once locked out of my account? 

  • If you already have a DataSpring | CAQH profile and you are locked out, please contact DataSpring helpdesk at (888) 599-1771 and they can help you get access to your profile.

Should I designate Talkspace as my employer? 

  • Yes, as an independent contractor working at Talkspace, you are considered a “self-employed contractor,” however you should include Talkspace in your work history listing for historical purposes.

You may use the Talkspace appointment phone number - (844) 995-1212 or add your personal phone number and email address. 

Which address should I use as the employer's address?

  • As an independent contractor working at Talkspace, you are welcome to add Talkspace’s entity and billing information. The address you enter is based off of your home address and should be listed as “Virtual location” for the “Address 1” section and your city, state, zip and county for the rest of the location. Your physical space defines the actual location of where you work (i.e., either a private practice or home office).

Should I use Talkspace’s phone number for the employment information section? 

  • Yes, you may use the Talkspace appointment phone number of (844) 995-1212 or your own personal phone number.
