Adding a New License at Talkspace

Background

To add a new state license to your existing Talkspace provider profile, please follow the steps outlined below. This process ensures your information is correctly documented and meets regulatory compliance requirements.

Phase 1: Update Your CAQH Profile

You must ensure your new license is accurately reflected in your DataSpring | CAQH profile before we can add it to your Talkspace profile.

  1. Log in to your DataSpring | CAQH Profile.
  2. Add Your New License:
    • Navigate to the "Profile Data" tab and locate the "Professional IDs" section.
    • Click "Add" to enter your new license details (State, License Number, Status, Issue Date, and Expiration Date).
    • Navigate to the Personal Information tab and click on Practice State(s). Ensure the state issuing your license is added to Additional Practice State(s) as well. 
  3. Review State-Specific Requirements:
    • Some states (e.g., CO, GA, IL, MA, MN, MS, NV, NC, OK, OR, TX, WA, WV) require a state-specific formatted application and/or state-specific attestation signature pages.If your new license is in one of these states, the system should prompt you to complete the required state-specific documents. See below for tips on generating these documents:
    • Professional IDs and Personal Information CAQH sections: Ensure your license is listed in both the 'Professional IDs' section and under your personal information tab where it says 'Additional Licenses'.
    • Disclosures: These sections must be 100% complete. Specifically, check the 'Disclosure' section for the state-specific tab that must be filled out.
    • To confirm if the specialized state application is submitted correctly: Click on "Download Your State Application" on the attestation page. Select the special state, if it downloads, it is successfully completed, if not, something did not work. 
    • Please also ensure the signature pages for the specialized states were successfully uploaded: You can confirm by clicking on "documents" and opening the file that is noted as one of the state authorization or release signature pages.
    • Important: Ensure any required attestation signature pages include "Talkspace" in the header as a delegated entity.
  4. Re-attest:
    • Once all information is entered, click the "Review & Attest" button. Your profile changes will not be visible to us until you have successfully re-attested.

Phase 2: Notify Talkspace Credentialing

Once your CAQH profile is updated and re-attested, please notify our team to initiate the addition process.

  • Submit a Request: Send an email to the Credentialing inbox at credentialing@talkspace.com.
  • Include Necessary Documentation:
    • Confirm that your new license and the updated CAQH application (including state-specific forms, if applicable) are available and attested on your CAQH profile.
    • If you are a prescriber in a state requiring a collaborative agreement, please send us your collaborating physician's name and email address. We will need you and your collaborating physician to complete a Talkspace-specific collaborative agreement.
  • Once notification is received, we will proceed in adding the new license to the Credentialing Committee’s monthly agenda for review and formal approval. 

Important Reminders:

  • Processing Time: To ensure full alignment with our payer partners' compliance standards, all new license additions must undergo a formal review by our Credentialing Review Committee (CRC). This committee meets every third Monday once per month to provide final clinical oversight and approval. Once formally approved, you will receive an official notification, and your license will be activated in the system. 
  • Eligibility: Licenses cannot be added if you are currently on Corrective Action. If you are on Corrective Action, please coordinate with the Quality Management (QM) team to clear your status before requesting a license addition.
  • Temporary Licenses: If you hold a temporary license, it cannot be added until you have obtained your full, unrestricted state licensure.
  • Associates: If you are an Associate provider, please direct all license addition requests to the Onboarding Team at applicants@talkspace.com, as associates can only have one license on file at a time. If you have upgraded to independent licensure, contact Onboarding to update your contract.
  • Medicare Enrollment: If you are already enrolled in Medicare in any of your additional licensed states, please let us know so we can submit your enrollment for your new state license as well.
  • Telehealth Licensure: While our platform accepts certain telehealth-only registrations, we require them to have three distinct data fields: a unique license number, an issue date, and a standalone expiration date. If your telehealth license is solely based on your primary state of licensure without the three distinct data fields, it cannot be added. 
  • Compact Licensure: Our system and our insurance payer partners do not currently accept compact privileges. We need a state-specific license number and expiration date that can be verified independently through that state’s board, rather than a multi-state compact designation.
